This Privacy Policy explains how SofsandVivs LLC collects, uses, stores and shares personal information when people visit our website, contact the loft, request a swatch loan, or commission a piece of soft furnishing work. The site and the workshop are run by the developer Sofs and Vivs, the working name used by the team that designs, sews and maintains everything described here. We have written this policy in plain language so that a client reading it on a phone at the bench can understand what happens to a name, an email address or a job card.
We are a small upholstery workshop, not a data broker and not an advertising network. Almost every piece of information we hold arrives because someone chose to send it to us in order to have a footstool built, a cushion cover sewn or a bench seat repaired. This policy describes the full life of that information, from the moment a message lands in the loft inbox to the point where a job card is retired from the active file.
Please read this policy together with our Terms of Service, which describes the commercial relationship between a client and SofsandVivs LLC. The Terms of Service cover quotations, deposits, fitting visits and repair work. This policy covers information only. Where the two documents overlap, the Terms of Service govern the commercial side of a commission and this policy governs the handling of personal information.

SofsandVivs LLC is a limited liability company organized under the laws of the State of Utah and operating a soft furnishing workshop in Murray. The company builds tufted footstools, sews cushion covers, reupholsters bench seats, lends fabric swatches, cuts and refills foam, and holds monthly heirloom repair evenings. The business address is 6423 S Westridge St, Murray - 84107-7748, United States (US).
For the purposes of applicable privacy law, SofsandVivs LLC is the controller of the personal information described in this policy. The company decides why information is collected and how it is used. Where a service provider processes information on behalf of the company, that provider acts as a processor and is bound by contractual limits on its use of the information.
The development and maintenance of this website is credited to Sofs and Vivs. Questions about the technical operation of the site may be directed to the same contact channels listed in this policy.
This policy applies to the public website at sofsandvivs.buzz and to any personal information that SofsandVivs LLC receives through the site, by email, by telephone, in person at the loft, or through a written commission form. It also applies to information recorded on job cards, swatch loan ledgers and repair records created during the ordinary course of workshop business.
This policy does not apply to information that is not personal information, such as general fabric descriptions, workshop process notes that contain no client details, or aggregate statistics about the number of commissions completed in a season. It also does not apply to information processed by third parties under their own privacy policies, even where a link to a third party site appears on our pages.
If a client provides information about another person, for example a delivery address for a gift or a contact for a fitting appointment, the client is responsible for making sure that person understands how the information will be used and that the disclosure is permitted.
We collect only what we need to answer a question, prepare an estimate, complete a commission or keep a record of work done. The categories below describe what that means in practice.
When a client writes through the contact form or sends an email, we receive the name, email address, subject line and message content that the client chooses to include. Where a person telephones the loft, we may note the name, phone number and a short summary of the call. Where a person visits, we may record the measurements of a piece, the fabric chosen, the fill specified and any fitting notes that help us complete the work accurately.
For commissions we record the job details needed to build or repair a piece: the type of piece, its dimensions, the cover fabric, the foam grade, the sewing decisions, the agreed price, the deposit received and the scheduled fitting dates. This information is kept on a job card that travels with the piece through the loft and remains with the company after pickup.
The swatch loan ledger records the client name, the swatch numbers borrowed, the date of the loan, the expected return date and any deposit taken. This record allows us to track which samples are out in the field and to return deposits correctly.
We record the amount, date and method of deposits and final payments. We do not store full card numbers or bank credentials in the loft. Card and bank payments are handled by a financial institution or payment processor, and we receive only the confirmation needed to match a payment to a commission.
Our hosting provider may log standard technical information when a page is requested, such as the browser type, the referring page and a truncated network address. We do not use this information to identify individual visitors. It is used only to keep the site available and to diagnose faults.
Most information is provided directly by the person concerned, either through the contact form, by email, over the telephone or during a visit to the loft. A client who asks a friend to collect a finished cushion is, in effect, providing that friend with the pickup details, and we treat such a request as authorized by the client.
Some information is created by us during the course of a commission. Measurements, photographs of a tear-down, notes about a frame repair and records of the fabric used are all examples of information generated in the workshop rather than supplied by the client. These records exist to support the quality of the work and to allow a future repair to begin from an accurate starting point.
A small amount of information arrives indirectly from service providers. A payment processor confirms that a deposit was received, and an email provider delivers a message to the loft inbox. In those cases we receive only the confirmation or the message, not the underlying financial credentials or the full routing history.
We use personal information for the purposes below. Each purpose is tied to a specific workshop need, and we do not repurpose information for unrelated activities without a new lawful basis.
We do not build advertising profiles, we do not sell information, and we do not use the content of a client message to train external marketing systems. A photograph sent to illustrate a room is used to discuss a commission and nothing else.
Where the law requires a legal basis for processing, SofsandVivs LLC relies on the following grounds. A contract basis applies where processing is necessary to prepare or perform a commission, such as measuring a piece, ordering fabric or arranging a pickup. A legitimate interest basis applies where processing supports the safe and efficient running of the workshop, such as keeping job cards, preventing misuse of the site or maintaining basic business records. A legal obligation basis applies where the company must keep records for tax or accounting purposes. A consent basis applies where a person has agreed to receive a particular kind of update and has not withdrawn that agreement.
A client may withdraw consent at any time by writing to orders@sofsandvivs.buzz. Withdrawal does not affect processing that already took place on the basis of consent, and it does not affect processing that relies on another legal basis, such as the completion of a commission or the keeping of financial records.
Our service providers are chosen for reliability and for a reasonable approach to data protection. They are not permitted to use loft information for their own marketing, and they are not permitted to disclose it beyond the service they provide to SofsandVivs LLC. Where a provider operates outside the United States, we take reasonable steps to confirm that the transfer is supported by an appropriate safeguard.
The categories of provider we rely on are email delivery, website hosting, payment processing and parcel delivery. A small workshop does not need a long chain of vendors, and we prefer to keep the list short so that every provider can be named and reviewed. If a new category of provider is added, this policy will be updated to reflect it.
A client who prefers that a particular piece of information not be shared with a delivery service, for example a home address for a surprise gift, should tell us at the time of the commission so that an alternative arrangement can be made.
We keep information only as long as it serves the purpose for which it was collected. Enquiries that do not become commissions are kept for a reasonable period so that a follow up question can be answered, and are then removed from the active inbox. Commission records, including job cards and photographs of the work, are kept while the piece is in use because they allow a later repair or re-cover to match the original build.
Swatch loan records are kept until the samples are returned and the deposit is settled, plus a short period for reconciliation. Financial records, including deposits and payments, are kept for the period required by tax and accounting rules. Repair night records are kept with the job card for the same reason as a commission record, since a piece that returns for a second repair benefits from knowing what was done the first time.
When a retention period ends, information is deleted or destroyed in a way that prevents reconstruction. Paper job cards are shredded, and digital records are removed from the active system and from backups within the ordinary backup rotation. If a client asks us to delete information sooner, we will do so where no legal obligation requires us to keep it.
We take reasonable technical and organizational measures to protect personal information. The loft keeps paper records in a locked cabinet when the workshop is closed. Digital records are held in accounts protected by strong passwords, and access is limited to the people who need the information to do the work. The website is served over an encrypted connection, and the contact form does not store messages on the server.
No system can be perfectly secure, and we do not claim otherwise. A small workshop faces the same threats as any other business, from a lost phone to a phishing message that looks like a supplier invoice. We review our practices when a new tool is adopted and when a provider changes its terms. If we learn of a security incident that affects personal information, we will investigate promptly, take steps to contain it and notify affected people and regulators where the law requires.
Clients can help by using a unique password for any account related to a commission, by not sending card numbers in an email, and by telling us immediately if a message claiming to be from SofsandVivs LLC looks unusual.
Depending on where a person lives, privacy law may give particular rights over personal information. SofsandVivs LLC honors the following rights for all clients and visitors to the extent the law requires, and offers them as a matter of good practice where it does not.
To exercise a right, write to orders@sofsandvivs.buzz with enough detail for us to locate the relevant records. We may ask for a small amount of confirming information to protect the records from an unauthorized request. We aim to respond within thirty days. If a request cannot be fulfilled, we will explain the reason and, where applicable, the legal basis for the refusal.
A person who believes a privacy right has been handled incorrectly may raise the matter with us first, and may also contact the appropriate supervisory authority in the place where that person lives or works.
This website and the workshop are intended for adults arranging furnishing work. We do not knowingly collect personal information from children under the age of thirteen. A commission may involve a child in the sense that a footstool is built for a child to use, but the information collected belongs to the adult who arranged the work.
If a parent or guardian believes that a child has sent personal information to SofsandVivs LLC, they should contact orders@sofsandvivs.buzz and we will delete the information promptly. No account, subscription or marketing list is offered to children on this site.
We do not operate a mailing list for advertising and we do not send promotional campaigns. Messages from the loft are transactional: they confirm an estimate, arrange a fitting, remind a client about a swatch return or announce a repair night to people who have asked to be told about it.
Where a client has asked to be reminded about a seasonal commission window, we keep the contact details needed for that reminder and nothing more. A person may opt out of such reminders at any time by replying to the message or writing to orders@sofsandvivs.buzz. Opting out does not affect messages needed to complete an active commission.
If we ever introduce a newsletter, it will be offered on an opt in basis, it will state plainly what it contains and how often it arrives, and every message will include a simple way to leave the list.
This site may link to pages operated by other organizations, for example a fabric mill, a delivery service or a map provider. Those pages are governed by their own privacy policies, and SofsandVivs LLC has no control over the information they collect. A link is not an endorsement of another organization and does not mean that information is shared with that organization.
We encourage visitors to read the privacy notice of any site they visit before providing personal information. If a link from our site leads to a page that seems unexpected or asks for sensitive information, please tell us so that the link can be reviewed.
We review this policy when our tools, our providers or our services change. When a change is material, we update the effective date at the top of the page and describe the change in this section so that a returning reader can see what moved.
Changes take effect when the revised policy is published on this page. Continued use of the site after a change indicates acceptance of the revised policy for future interactions. For an active commission, the version of the policy in force when the commission began continues to apply to the information collected for that commission, unless the change is required by law.
The current version is dated 21 October 2026 and replaces all earlier versions of the privacy policy for SofsandVivs LLC.
Questions about this policy, a privacy request or a concern about how information has been handled can be directed to SofsandVivs LLC using the details below. We read every message and aim to reply within two working days during loft hours.
